2024 Annual Meeting of the HOD: March 1 Speakers' Update

All policies have been updated in PolicyFinder to include actions at 2023 Interim Meeting, and the HOD office is ready to accept resolution submissions for the 2024 Annual Meeting. We will once again follow the same deadline and submission protocols that were implemented for I-23. These deadlines will be strictly followed. Our goal is to have all business processed so that the entire handbook will be posted online on or about May 10. There will be no supplement.

This will also allow us to post all on time submissions, minus any exempted submissions, to the online forums for your review and comments during the 14-day window currently required by policy. We expect a large volume of business so we encourage delegations to submit resolutions that you currently have on hand as soon as possible. 

Please note that all submissions must also be correctly formatted prior to the submission deadline. For example, no edits/corrections will be accepted after the deadline. A resolution template with instructions has been uploaded to the HOD resolution submission page for your use. Again, all submissions must adhere to this template. Those that are incorrectly formatted will be returned for editing. The HOD office will not edit your submissions for you. 

Submission deadlines

On time submissions:

  • April 24 at 5 p.m. Central: Resolutions from meetings* held prior to April 1, 2024
  • May 8 at 5 p.m. Central: Resolutions from meetings* held April 1 to May 1, 2024

Exempted submissions:

Per Bylaw 2.11.3.1.1 (PDF), exempted resolutions may be submitted within seven days of the conclusion of meetings* held within the five-week period preceding the commencement of the HOD meeting.

Excluding resolutions directly transmitted from the sections, any resolution received after these deadlines will be considered late.

*Bylaw 2.11.3.1.1 defines meetings to include any member organization’s house of delegates meeting or primary policy-making body’s meeting, as defined by the organization.

We encourage all delegates and alternates to consider volunteering to serve on House committees, including reference committees and rules and credentials, or as tellers at the 2024 Annual Meeting. 

To apply for A-24 positions, a new online application form should be submitted no later than Friday, April 5, 2024. We will no longer be accepting emailed applications. This new form will need to be submitted if you would like to be considered for service even if you have emailed forms for previous meetings. Preference will be given to volunteers who have not served at a recent meeting. 

All reference committee volunteers must confirm their availability to meet virtually on the weekend prior to the opening session of the House to develop a preliminary document based on the online forum testimony. Those interested in serving as chair of a committee should indicate their desire to do so on the form.

Per AMA Policy G-610.090, caucuses and delegations may choose to conduct virtual or in-person interviews for the 2024 HOD elections. The HOD office will once again compile a list of contact persons for the interviewing groups and for the candidates. Interviewing groups must complete the Official Interviewing Group Form to be added to this list. The HOD office will collate the list of groups wishing to interview for each position and send it to the corresponding candidates to schedule directly with the contact person designated by each interviewing group. This centralized official list provides transparency to all candidates seeking interviews, while allowing groups to decide if, when, how and for which contests they wish to interview.

Important points

  • Groups and candidates may begin scheduling interviews after active campaigning begins which will be announced by the speaker.
  • Candidates may not seek or accept an invitation to interview with a group that is not included on the official list.
  • There are separate deadlines for groups to submit their contact information for virtual and for in-person interviews.
  • Some groups may reach out to candidates to inform them of their interview plans, but it is the responsibility of the candidates to contact the group's designated person to arrange an interview.
  • If a group offers an interview to a candidate they must offer a similar interview to all candidates seeking the same position.
  • Any candidate may decline any interview.
  • The HOD office will not be scheduling interviews between the regional caucuses and officer candidates.

Virtual interviews

Virtual interviews are subject to these constraints:

  • Interviews may be conducted only during a 4-7 day window designated by the speaker beginning at least two weeks but not more than four weeks prior to the scheduled Opening Session of the House of Delegates meeting at which elections will take place.
    • For this meeting your speaker has selected May 17-22 for the virtual interview window.
    • Interviews conducted on weeknights must be scheduled between 5 p.m. and 10 p.m. or on weekends between 8 a.m. and 10 p.m. based on the candidate’s local time, unless another mutually acceptable time outside these hours is arranged.
    • Caucuses and delegations scheduling interviews for candidates within the parameters listed must offer alternatives to those candidates who have conflicts with the scheduled time.
  • Recording of interviews is allowed but only with the knowledge and consent of all participating individuals. 
  • Recorded interviews may be disseminated to the interviewing group members when all are not present for the interview but should only be shared with members of the interviewing group. These recordings may not be used for any other purpose.
  • Candidates may only record an interview with prior notice to the interviewing group and the recordings may only be shared with members of the candidate’s campaign team.

In-person interviews

  • In-person interviews may be conducted between Friday, June 7 and Monday, June 10, except during House sessions.

Pursuant to HOD policy, the Official Candidate Notification for the 2024 AMA Elections (PDF), is current as of Feb. 29, 2024. Please note, a candidate for CSAPH, Resident/Fellow Section has withdrawn. Individuals considering becoming a candidate for any of the existing open or potential newly open positions are encouraged to send an email with an electronic announcement card to [email protected] notifying us of your intention to be a candidate.

We once again want to remind all HOD members of the newly consolidated election policy. AMA PolicyFinder has been updated and it is posted on the HOD election rules page. This newly formed HOD policy G-610.090 will govern the elections for the 2024 Annual Meeting. 

The June 2024 House of Delegates (HOD) Meeting credentialing process is now underway. Society staff can access the online credential certification instructions and form on the HOD delegation certification & rosters page. HOD meeting credentials will be prepared for your delegate(s) and alternate delegate(s) based on the information you provide.
